Mountainspace – Terms & Conditions

Mountainspace (“we”, “us”, “our”) provides outdoor instruction, guided activities, courses, and group experiences across the UK. By making a booking or participating in any Mountainspace activity, you (“you”, “the participant”, “the client”) agree to the following Terms & Conditions.

Mountainspace is a UK-based sole-trader business.

1. BOOKINGS & PAYMENT

1.1 All bookings are subject to availability and confirmed only once we have communicated directly with you.

1.2 A deposit is required to secure your booking. The exact amount will be communicated when you contact us.

1.3 Deposits are non-refundable, except in situations where a mutually agreed rescheduled date is arranged.

1.4 The remaining balance is due by the date agreed during the booking process.

1.5 Group and corporate bookings may have additional requirements, which will be discussed directly at the time of enquiry.

2. CANCELLATIONS & REFUNDS (CLIENT)

2.1 If you wish to cancel your booking, you must inform us in writing via email.

2.2 Cancellations made more than 21 days before the activity may be refunded minus the non-refundable deposit.

2.3 Cancellations made within 21 days are non-refundable unless a rescheduled date is mutually agreed.

2.4 Rescheduling is permitted where possible in cases of unsafe weather, illness or medical emergencies, or unforeseen personal circumstances. Final decisions will be made at our discretion.

3. CANCELLATIONS BY MOUNTAINSPACE

3.1 We may alter plans or locations if weather or environmental conditions make the planned activity unsafe.

3.2 If conditions require changes, we will offer an alternative venue or activity, a rescheduled date, or discuss an appropriate refund if neither option suits the client.

3.3 Instructors reserve the right to refuse participation if safety is compromised.

4. SAFETY, MEDICAL & PARTICIPATION

4.1 Outdoor adventure activities carry inherent risks. By taking part, you acknowledge and accept these risks.

4.2 You must complete a medical disclosure form before participating.

4.3 Minimum age is 18 unless accompanied by a parent or legal guardian.

4.4 A consent form must be signed prior to the activity.

4.5 You must follow all safety instructions provided by the instructor.

5. EQUIPMENT

5.1 Mountainspace can provide some technical equipment on request.

5.2 Equipment requirements will be discussed at the time of booking.

5.3 You are responsible for arriving with appropriate clothing, food, water, and personal equipment unless otherwise agreed.

6. PHOTOGRAPHY & MEDIA

6.1 We may take photographs or videos during activities.

6.2 No media will be used for marketing unless you have signed a separate consent form.

6.3 Consent may be withdrawn at any time.

7. INSURANCE, QUALIFICATIONS & PROFESSIONAL STANDARDS

7.1 Mountainspace is operated by a fully qualified and insured Mountaineering and Climbing Instructor (MCI).

7.2 Any additional instructors working for Mountainspace will be fully qualified, insured, and approved.

7.3 Evidence of qualifications or insurance can be provided on request.

7.4 All activities have up-to-date Risk Assessments and Method Statements.

8. LIABILITY

8.1 Mountainspace holds appropriate professional and public liability insurance.

8.2 Participants accept the inherent risks of climbing, mountaineering, hill walking, abseiling and wild camping.

8.3 Mountainspace is not liable for injuries resulting from failure to follow instructions, your own actions, undisclosed medical conditions, or loss/damage to property.

8.4 Participants are responsible for their actions within the guidance provided.

9. SAFETY MANAGEMENT

9.1 Activities are delivered using proper safety systems, dynamic risk assessment, equipment checks, and suitable venue selection.

9.2 Safety instructions must be followed at all times.

9.3 Mountainspace may modify or terminate an activity if conditions or behaviour create an unsafe situation.

10. GROUP & CORPORATE BOOKINGS

10.1 Additional planning or support may be required; terms will be agreed in writing.

10.2 Corporate and brand experiences may include guided activities, outdoor events, or campaigns.

10.3 Pricing and cancellation terms may differ based on requirements.

11. GDPR & DATA PROTECTION

11.1 Mountainspace complies with UK GDPR regulations.

11.2 Personal information is collected only for safe delivery of activities.

11.3 Data is stored securely and never shared with third parties.

11.4 You may request access, correction, or deletion of your data at any time.

12. GOVERNING LAW

These Terms & Conditions are governed by the laws of England & Wales.
